Terms of service

Last updated 5 November 2026.

These terms cover your use of TradeLine Assist, provided by Alan Cox trading as TradeLine Assist ("we", "us"). By signing up you agree to them on behalf of your business ("you").

1. The service

We provide an AI virtual assistant that answers calls forwarded to your TradeLine Assist number, collects details from callers, and emails you a summary of each call. We also provide a customer portal. The service is described on our services page.

2. Plans, fees and payment

  • Fees are shown on our pricing page. A one-off setup fee applies to monthly plans and is waived on yearly plans.
  • We aren't VAT registered, so no VAT is added. If that changes, we'll tell you at least 30 days before we start adding VAT.
  • You pay monthly or yearly in advance, by card through Stripe or by bank transfer.
  • We may change prices on 30 days' written notice. Changes apply from your next billing date.
  • If a payment is more than 14 days late, we may pause the service until it is paid.

3. Included minutes and fair use

Each plan includes a guide number of call minutes a month. Occasional overruns are fine. If you regularly go over your plan, we may ask you to move to a higher plan.

4. Your responsibilities

  • Give us accurate information about your business and keep it up to date.
  • Set up call forwarding from your own number to your TradeLine Assist number.
  • Act on urgent calls. The service flags them, but it is not an emergency service, and you remain responsible for how quickly you respond.
  • Callers must be told when calls are recorded. We include a notice in the greeting, but as the controller of your callers' information you are responsible for your own compliance.
  • Check call details before relying on them. See our disclaimer.

5. Data protection

You are the controller of your callers' personal data and we are your processor. A data processing agreement covers this and forms part of these terms. Our privacy policy explains how we handle other personal data.

6. Acceptable use

Don't use the service for anything unlawful, misleading or abusive, or to record calls without proper notice. We may suspend the service if you do.

7. Availability and changes

We work to keep the service running but can't promise it will be uninterrupted or error-free. It relies on other companies' platforms for telephony, speech and AI, and on your own call forwarding. We may improve or change features over time.

8. Term and cancelling

  • Monthly plans continue month to month. You can cancel at any time by email, and the service ends at the end of the month you've paid for.
  • Yearly plans run for twelve months and are paid up front. If you cancel part-way through, the service continues to the end of the year you've paid for. We don't refund unused months, unless we end the service ourselves or the law requires it.
  • We may end the service on 30 days' notice, and refund any months you've paid for but won't receive. We may end it immediately if you seriously breach these terms.

9. Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law doesn't allow us to limit. Subject to that, we are not liable for lost profits, lost work or indirect losses, including work lost because a call was missed, misheard or mis-transcribed, and our total liability to you in any 12 months is limited to the fees you paid us in that period.

10. Intellectual property

We own the service, the portal and the website. You keep ownership of your business information and your call data.

11. General

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If part of these terms can't be enforced, the rest still applies. Contact us at hello@tradelineassist.co.uk.
